Before the Christmas Rush: Is Your Clinic Ready for the Break?

Before the Christmas Rush: Is Your Clinic Ready for the Break?

December has a habit of compressing everything.

Appointments move, clients travel, clinic hours change and routines that felt easy a few weeks earlier can suddenly need a little more planning.

For clinics supporting clients with established Advanced Nutrition Programme™ routines, the weeks before the festive break are a useful time to look ahead. A few well-timed conversations can help clients prepare for travel, understand your clinic availability and know when to reconnect in January.

Plan before the calendar fills up

The best time to prepare is while there is still time to act.

As December appointments approach, look ahead at clients whose usual timing may fall during your closure period or while they are travelling.

Build this into the conversations you are already having. Ask about holiday plans, changes to their usual schedule and when they expect to be back in the clinic.

A client staying close to home may need very little preparation. Someone leaving for several weeks may appreciate an earlier reminder to think through their established routine and any questions they would like to discuss before they go.

The useful question is: what will this client’s next few weeks actually look like?

Prepare clients for travel and closure

Clear dates make planning much easier.

Share your festive opening hours, closure period and relevant ordering deadlines early enough for clients to prepare. Mention them during appointments, include them in client communications and make them easy to find at reception or through your usual digital channels.

This also gives your team a natural opportunity to check that clients are clear on their established routine before the clinic closes.

Travel deserves its own conversation. Different schedules, long days and time away from home can change what feels realistic.

Ask how long the client will be away, what they already use consistently and whether they have any questions before departure. For clients using Advanced Nutrition Programme™, keep the discussion centred on their established routine and current professional recommendations.

Make the break clear

Clients are more likely to feel prepared when they know what to expect from the clinic while you are away.

If your team will be stepping away from its usual communication channels, explain this before the closure begins. Make the reopening date easy to find and be clear about when normal support will resume.

For the clinic team, this preparation matters too. When closure dates, routine questions and January follow-ups have been handled in advance, there is less left hanging over the festive break.

Give January a point of reconnection

January can begin with a conversation rather than a reset.

Some clients will return quickly to their usual rhythm. Others may have travelled, changed their schedule or found parts of their routine easier to maintain than others.

The first appointment back is an opportunity to reconnect. Ask how the break went, what fitted comfortably into their time away and whether any new questions came up.

Where a January consultation would be useful, arranging it before the clinic closes gives both the client and the team a clear point to pick up the conversation again.

December may change the rhythm of the clinic for a few weeks, but the client relationship can remain clear.

A little preparation before the break can help clients organise their established routine, give the team space to switch off and make January easier to return to.
